Plans and billing

Contals bills the organization per full member – owners, admins and members, counted once per person across all its workspaces. Volunteers, viewers and board guests are free on every plan. Organization owners and admins manage the plan on the page Billing and plans: organization settings → Billing → Billing and plans.

  • Current plan and its state – for example Trial, Active, Ends at period end or Payment overdue.
  • Seats – the billable seats, the people who use Contals for free, and pending invitations for full roles (they reserve a seat).
  • Usage and limits – seats, workspaces and boards per workspace against your plan’s limits, with a warning before you reach one. Archived boards do not count.
  • E-mails this month – on the free plan: how many notification e-mails your organization sent this month, against its monthly cap.
  • The plans side by side in the Currency you choose, with Upgrade to Team or Upgrade to Business.
  • Payment methods and invoices – opens the customer portal of our payment provider: change the payment method, download invoices, switch plans or cancel at the end of the period.

Every new organization starts with the Team plan for 14 days, without entering a card. Banners show the days left and Keep Team; organization owners get a reminder e-mail shortly before the end. Afterwards the organization continues on the free plan – nothing is deleted. Upgrading during the trial keeps the remaining days.

Contals bills in Swiss francs (CHF), euros (EUR) or US dollars (USD). The billing page suggests the currency of your region – CHF for Switzerland and Liechtenstein, EUR for the EEA and the UK, USD everywhere else – and you can pick another one under Currency before you upgrade. Once a subscription runs, it stays in its currency (the page says Billed in …); our payment provider cannot switch a running subscription to another currency. Prices are shown without VAT or sales tax; the checkout adds the tax that applies to your billing address.

Upgrade to Team (or Business) opens Stripe’s checkout in the chosen currency: billing address, VAT ID if you have one, payment method. The subscription counts your billable seats; added seats are charged pro rata, removed seats drop out from the next period. Plan changes, invoices and cancellation are in Payment methods and invoices.

Nonprofit pricing is on request, for churches and charities. Registered churches, charities and associations ask for it on the billing page: choose Apply for nonprofit pricing, enter the legal name, legal form, register number or a link to the public register entry and the country, confirm the declaration and Send request. We check the register entry, usually within a few days. The owners and the person who asked get the decision by e-mail, and a note of ours, if there is one, also shows on the billing page. After a denial you can send a new request – best with a link to the register entry – or write to support@contals.com. Approved organizations get the Team plan free up to a number of full members and a discount on paid plans beyond that (see the pricing page).

AI with your organization’s own model and the dashboard, calendar and filters across boards are part of every plan, the free plan too. See your own AI model and dashboard, calendar and filters across boards.

E-mail is the largest cost of running Contals, so the free plan saves on it; boards, Power-Ups, AI and the views across boards are included all the same. The pricing page has the current numbers.

  • No single notification e-mails. Notifications arrive in the app, by push and in the weekly summary e-mail. If you chose a daily summary, it comes on Mondays and covers the week – unless another organization of yours has a paid plan.
  • A monthly cap on notification e-mails. Each free organization sends a limited number of them per month; the summary e-mails count, sign-in links, confirmations and invitations never do. The billing page shows the count under E-mails this month. At the cap, no more of these e-mails go out until the month ends; everything stays in the app.
  • Plain links on public pages. Web addresses in the texts of your public poll and booking pages (descriptions, places) show as text with a hint until the organization pays for a plan or has approved nonprofit pricing – the trial without a card does not count. Visitors’ comments never become links. Public poll and booking pages also have Report abuse, see date polls and booking pages.
  • A pause after a long quiet time – see below.

A free organization that nobody has used for a long time is paused: its boards, cards and people all stay, but nothing can be changed, and its public poll and booking pages take no new entries. Its owners are told by e-mail beforehand and when it happens; the free plan’s billing page states the rule. Members see a banner that it is paused and that nothing was deleted; changes are refused with the same explanation.

To wake it up, an owner signs in – or opens Contals while signed in. That is enough: it is active again at once. A paid plan also ends the pause at once. The audit log records the pause and the wake-up. Organizations with a paid plan, in their trial or with approved nonprofit pricing are never paused.

  • When a limit is reached – for example boards per workspace or full members – Contals shows a notice right where you are, with the way to upgrade (or the hint to ask an admin of your organization). Nothing is deleted.
  • When a paid subscription ends without a new one, the organization continues on the free plan and its owners get an e-mail. Nothing is deleted: boards, workspaces and members above the free limits stay and keep working; only growth is blocked, and older activity is hidden until the next upgrade (a board keeps 13 months of history). An organization is deleted only when an owner asks for it (see deleting the organization).
  • If a payment fails, the owners get an e-mail and a banner shows the deadline. If it stays unpaid after the grace period, the organization becomes read-only – everything stays visible, nothing can be changed – until the invoice is paid: the owners get another e-mail, every member sees a banner, and boards show that they are read-only instead of offering changes. If the last payment attempt fails too, the subscription ends and the organization continues on the free plan.
  • A subscription cancelled during its free trial simply ends on the free plan – nothing is deleted.

Contals stores only Stripe IDs, amounts and states; names, addresses, VAT IDs and payment details stay with Stripe. Invoices and amounts are kept as long as tax law requires, also after an account is deleted.
