Data export
You can export your data from Contals at any time as a JSON file: a single board or a whole workspace on every plan, the entire organization at once on the Team and Business plans. An export contains the full board state, including comments and Power-Up data, and the history of changes of the last 13 months.
How to export
Section titled “How to export”| What | Where | Who |
|---|---|---|
| A board | Board → Settings → Export data → Download export (JSON) | Board admins (never guests or volunteers) |
| A board’s cards as a spreadsheet | Board → Settings → Export data → Download cards (CSV) | Board admins (never guests or volunteers) |
| A workspace | Workspace settings → Export data | Owners and admins: every board of the workspace they can read |
| The organization | Organization settings → Export data | Organization owners, on Team and Business: every workspace in which they are owner or admin |
An export only ever contains boards the exporting person can read. Workspace owners and admins who manage a private board without being a member must open it first (Open (logged) in the workspace settings) – that is visible to the board’s members.
Scripts can download the same exports through the API with a personal API token.
What the file contains
Section titled “What the file contains”- The format name
contals-export/1and the export date. - Per board: lists, cards, labels, assignees, checklists, custom fields, comments, Power-Up data (for example due dates, votes, bookings) and the event history of the last 13 months. A board keeps 13 months of history: older changes are folded into the board – their result is in the export, the single steps are not. Texts that were erased from the history are not in it either: earlier versions of edited comments, deleted comments and status updates, and the texts of cards a retention rule deleted.
- The contacts that people without an account left when they booked a time or answered a date poll on the board.
- Members and pending invitations of the workspace.
- The names of everyone referenced in the data, so the file is readable on its own.
The CSV file has one row per card in list order – number, title, list, labels, assignees, due date, done, archived, created, last activity and the description as plain text – with the column names in your language; it opens in any spreadsheet. The export files of a workspace and of an organization are named contals-workspace-… and contals-organization-…, so they never overwrite each other.
The JSON file is plain JSON, so you can read it with any tool, convert it to spreadsheets or import it elsewhere – including into another Contals board (import).
Not part of an export yet: your personal saved filters, notification settings and assistant conversations.
