Labels, assignees and due dates

Labels group cards by color and name, assignees say who is responsible for a card, and due dates say when it should be done. All three are set in the card details and shown on the card.

  • Labels belong to a board. Open a card → Labels → Edit labels.
  • New label: pick a color and an optional name (up to 40 characters), then Create.
  • Click a label to add it to or remove it from the card.
  • Delete label removes it from the board and from all cards.
  • A board can have up to 50 labels.

Labels show as small colored chips at the top of a card, so you can scan a board quickly – for example “Volunteers”, “Catering”, “Waiting for client”.

  • Open a card → Assignees → Assign and pick people.
  • Only people who have access to the board can be assigned. If the list is empty, share the board first.
  • Assigned people see the card under My cards and get an item in their inbox. Volunteers and guests can mark the cards assigned to them as done. They cannot assign other people, but they take a card themselves with I’ll do it and hand it back with Give it back – visible in the card’s activity like any change.
  • Several people can be assigned to one card; many teams still name one main owner per card.

Due dates come from the Power-Up Due dates, which is on for new boards by default.

  • Open a card → Due date → pick a date. Remove clears it.
  • Time (optional): for an appointment such as a rehearsal at 19:30. Without a time the card is due all day; All day removes the time again.
  • Add a start gives the card a start date – and, if you like, a start time – on or before the due date: a camp from Monday to Thursday, a meeting from 18:00 to 19:30. Remove the start takes it away; removing the due date removes the start too.
  • The card shows the date, the time (“Fri 19:30”) or the span (“20–23 Oct”), highlighted as Due today or Overdue. A card with a time is overdue from that time, a card without one from the next day.
  • Times are shown in your device’s time zone (the card says which), so everyone sees the same moment in their own zone. A date without a time is the same day everywhere.
  • Board admins can show a countdown (“in 3 days”) instead of the date: Power-Ups → Due dates → its setting.
  • If a board admin turns the Power-Up off, dates are hidden but kept; turning it on again shows them.
  • Due dates appear in the board’s calendar (Calendar Power-Up), in the workspace calendar and in calendar subscriptions – with their time, sorted by it; a card with a start spans its days in the board’s calendar and in your calendar app.
  • Checklist items can have their own due date – see checklists.
