Organization settings

The organization is the level above your workspaces: it holds billing, admins, single sign-on, the two-factor requirement, the audit log and the AI settings. Contals creates it automatically with your first workspace; the first welcome step asks for its name (it names the first workspace too). Open it from the workspace settings → Organization settings. The page lists its parts beside them (above them on a phone) – a click jumps to the part.

  • Name of the organization.
  • Workspaces: all workspaces of the organization. New workspace creates another one – useful for umbrella organizations, multi-site churches or agencies with one workspace per client. How many workspaces you can have depends on the plan.

Links to boards and cards carry the title so people recognise them, for example …/b/summer-camp-brd_…. Such links end up in browser histories, bookmarks, chat previews and the logs of networks and proxies. Owners and admins can switch on No titles in links: from then on every link to a board, card, workspace or saved filter of the organization uses only its ID – in the app, in e-mails, calendar subscriptions, export file names and the API. Old links keep working. Confidential boards never have titles in their links, whatever this setting says.

Admins manage workspaces, billing and security. They see no board content unless they are members of a board. Only someone who is already in a workspace of the organization can become an admin: otherwise the page says so and links to the workspace’s members, where you invite the person first.

The section shows the plan and the billable seats: full members (owners, admins, members), counted once per person across all workspaces of the organization. Volunteers, guests and viewers are not counted. Billing and plans opens the billing page – see plans and billing.

  • Privacy contact: who we notify of a personal data breach besides the owners (DPA §9.1), for example your data protection officer or a role address. Owners and admins set or remove it. Without one, the owners alone are notified.
  • Data processing agreement (DPA): an owner accepts the DPA in force here – Read the DPA, tick the box, Accept the DPA. The page then shows who accepted it, when and which version; when a new version is published, it offers the acceptance again. Both changes are in the audit log (without the address).

On the Team and Business plans, organization owners export at once every workspace in which they are owner or admin – with the boards they can read – as JSON; on the free plan, export boards and workspaces one by one. The export is logged. See data export.

Verified e-mail domains, the connection to your identity provider (OpenID Connect or SAML 2.0), accounts on first sign-in and “require SSO” – owners edit, admins read. Part of every paid plan (Team and Business). See sign-in methods and SSO.

Shows how many people of the organization have two-factor sign-in on, and who does not. Owners can switch on Require two-factor sign-in once they have it themselves: everyone who works in the organization – members, volunteers, viewers, admins and board guests – then sets it up before they continue. Reset helps someone who lost their phone and recovery codes and works in no other organization. Admins see the section, only owners change it. See two-factor sign-in and passkeys.

Open the audit log shows owners and admins who changed roles, board access, sign-in settings, billing and settings, and every opening of a confidential board – with filters and a CSV download, on every plan. See audit log.

Owners and admins connect the organization’s own AI model, decide what data may be sent, which features and workspaces use AI, and see the token usage. AI stays off until it is switched on here. See your own AI model.

Owners delete the whole organization at the bottom of the page: Delete organization… opens the section in place, you type the organization’s name and choose Delete in 30 days. A subscription that renews is cancelled first (Billing and plans).

For the next 30 days the organization is read-only: everyone sees a banner with the date, boards show that they are read-only and offer no changes, and everything can still be exported. The owners get an e-mail at the start, 7 days and 1 day before; every other member gets one e-mail with the date, and their banner links to their own data export. Until that day an owner can choose Keep organization – everything stays as it was.

The end of a paid plan never starts this: the organization continues on the free plan, and nothing is deleted (see billing).

After the 30 days Contals deletes the organization with all its workspaces, boards, cards, comments, files of imports and member lists. Billing records stay for 10 years, as the law requires; backups and nightly copies of boards are deleted after 35 days, and if one of them is ever restored, every deletion is applied again. The audit log records the request, a kept organization and the deletion.
