Community templates

A community template is the structure of a board that an organization shares with everyone: its lists, cards, checklists, labels and custom fields. Others find it in the gallery on the website and start a board from it with one click. Every template is reviewed by Contals before it goes public, and all are free to use under CC0 1.0.

An admin of the board who is also an owner or admin of the workspace – sharing speaks for the organization. Confidential boards can never be shared.

Open the board → Settings → Share as a community template.

What becomes public – and what never does

Section titled “What becomes public – and what never does”

The page shows exactly what would become public under What becomes public:

  • the open lists with their titles and card limits;
  • the open cards with their titles and labels, and their checklists with the items’ texts;
  • due dates as days before a key date (the latest due date on the board), so a new board can count from its own date;
  • the labels’ names and colors, the custom fields’ names and types (with the options of dropdown fields);
  • the Power-Ups switched on.

Never public: card descriptions, comments, people and assignees, values of custom fields, links and attachments, archived lists and cards, the board’s name and activity. Contals builds the template itself on the server from the board – nothing else can be sent along.

A template can have at most 20 lists, 200 cards, 30 labels and 20 custom fields; if the board is bigger, the page says what is too much.

Contals looks through every text for e-mail addresses, phone numbers, web addresses and bank accounts. The page lists what it found and where; change those texts on the board, then reload the page. Names of people cannot be found automatically – read the texts yourself before you confirm.

Fill in About the template: the Name of the template, a Short description (optional), the Category and the Language of the template. Tick Show our organization’s name if you want your organization named on the template page; otherwise it is shared anonymously. Then confirm that you checked the texts and dedicate the structure to the public domain (CC0 1.0), and Submit for review.

Contals reads every template before it appears, usually within a few working days. Its status on the publish page and under Community templates in the organization settings is Waiting for review, Public, Not accepted (with a note) or Removed.

To keep the gallery clean, an organization can have 3 templates waiting and 25 public at the same time, and a person can submit 5 a day. While the review queue is very full, organizations without a paid or nonprofit plan wait until there is room again.

Withdraw on the publish page or in the organization settings takes a template out of the gallery. Owners and admins of the organization and the person who submitted it can withdraw. Pages on the website are refreshed within ten minutes. Boards other organizations already made from it stay theirs.

In the gallery, open a template and click Use this template. Contals opens in your account; if you have more than one workspace, choose where the board goes. On the template’s page choose the key date and the board’s title, then create the board – it is an ordinary board of yours.

Every template page has Report abuse. The report goes to Contals without your name; we check it and remove a template that should not be public.

A published template is dedicated to the public domain under CC0 1.0: anyone may use, change and share it, also without naming the publisher. The terms of service describe the details.
