The board settings page holds the board's title, background, card numbers and board key, members and visibility, the confidential setting, custom fields, the stale-card setting, the retention of done cards, the calendar subscription, copy and template, export and deletion. Open it from the board header → **Settings**; most changes need the admin role on the board.

## General

- **Title** of the board.
- **Background:** a color to tell boards apart.

## Card numbers

Every card has a number with the board key in front, for example `GEM-12`. The number never changes, so people can name a
card by it – on the phone, in an e-mail or in the minutes.

- **Show card numbers** (on by default): switched off, cards, the card details, the board header, links, e-mails, chat
  messages and calendar subscriptions show no card numbers. Search still finds a card by its number, and the
  [API](/docs/en/ai/api/) keeps returning it.
- **Board key:** type a new key and choose **Change key**. A key has 1 to 10 characters – letters A–Z and digits,
  starting with a letter – and is unique in the workspace. Card numbers stay the same: `GEM-12` becomes `FEST-12`.
- **Earlier keys keep working:** old links, a search for `GEM-12` and the API still find the card, also after the card
  moved to another board. The section lists the board's earlier keys; each one stays reserved for this board, and the
  board can take it back later.

Only board admins change these settings. The board's activity shows every change.

## Members and visibility

- **Private:** only the members listed on this page see the board. New boards are private.
- **Workspace:** every member of the workspace sees the board (volunteers and viewers with their limited roles).
- Add people by e-mail and choose their board role (Viewer, Contributor, Editor, Admin). People outside the workspace join as guests and see only this board. Everyone gets an invitation first. See [invitations and roles](/docs/en/team/invitations/).

## Confidential board

For sensitive content – pastoral care, health or personnel matters – a board admin switches on **This board is confidential**. While it is on:

- links to the board and its cards carry no titles (`…/b/brd_…` instead of `…/b/pastoral-care-brd_…`), in the app, in e-mails, calendar subscriptions and the API; the browser tab shows the board key instead of the title;
- e-mails and the summary e-mail name it only as "a confidential board", and inbox entries carry no card titles;
- chat notifications carry no content, nothing of it is sent to your organization's AI model, and it is not available through the API, the MCP server or to AI agents;
- every opening is recorded in the [audit log](/docs/en/settings/audit-log/), and so is switching the setting on or off;
- the header shows **Confidential** to everyone on the board.

Old links with the title keep working. Public pages of the board (booking pages, polls) keep working too – don't use them on sensitive boards, see the [sensitive-boards guide](https://contals.com/en/data-protection/sensitive-boards/). Organization owners and admins can also remove titles from the links of all boards: [organization settings → Titles in links](/docs/en/settings/organization/#titles-in-links).

## Custom fields

Define the fields every card of this board can have – text, number, date, checkbox or a dropdown with colored options – and whether they show on the card front. See [checklists and custom fields](/docs/en/boards/checklists-and-fields/).

## Stale cards

**Stale cards** marks open cards without any activity for a number of days you choose – for example 14 or 30 (off by default) – with an hourglass, so forgotten work stands out. The marker archives nothing. The board filter and the summary e-mail use the same setting.

## Retention of done cards

**Retention of done cards** archives or deletes done cards automatically some days after they were completed – off by default. Choose **Keep**, **Archive** or **Delete**, pick the **Days after completion** (for example 90 days) and choose **Save rule**.

- The rule runs every night; each run appears in the board's activity, for example "archived done cards: 3 (rule: after 90 days)".
- **Delete** cannot be undone: the cards' comments, checklists and field values are removed, and their texts are erased from the activity. Choosing it shows a warning, and you tick **I understand that deleted cards cannot be restored** before you can save.
- Cards that hold data of people without an account – a date poll or a booking – are archived instead of deleted.
- Only board admins change the rule; everyone else on the settings page sees which rule applies.
- Copies of the board and templates made from it do not take the rule along; the board export names it.
- While the organization is read-only because of an unpaid invoice, or paused on the free plan, deleting goes on and archiving waits.

## Calendar subscription

**Calendar subscription** creates your personal, secret link with every due date of this board for Google Calendar, Outlook or Apple Calendar. It stops working when you lose access to the board. See [subscribe in your calendar app](/docs/en/views/across-boards/#subscribe-in-your-calendar-app).

## Public page

Board admins publish the board as a read-only web page for anyone with the link: **Publish this board as a public page**, then choose what **The page shows**, copy the link or make a **New link**. Never for a confidential board. See [public boards](/docs/en/boards/public-board/).

## E-mail to this board

Board admins turn on the board's own e-mail address: a mail from a member becomes a card in the list they choose. Never for a confidential board. See [e-mail to a board](/docs/en/boards/email-to-board/).

## Webhooks

Board admins send this board's events to another service – their own server, Zapier or Make: **Webhooks of this board** opens the webhooks page for this board. Not on a confidential board. See [webhooks, Zapier and Make](/docs/en/integrations/webhooks/).

## Copy and template

- **Copy board** creates a new board with the same lists, labels, custom fields and Power-Ups, with or without the cards; members can be invited to the copy.
- **Save as template** turns the board into a template for the whole workspace.

See [templates, copy and move](/docs/en/boards/templates-copy-move/).

## Power-Ups

Switch Power-Ups on or off on the board's **Power-Ups** page, where their settings live too (for example chat channels or the countdown) – see [Power-Ups](/docs/en/power-ups/).

## Export

**Download export (JSON)** saves everything on the board – lists, cards, comments, Power-Up data, booking and poll contacts and the history of the last 13 months (a board keeps 13 months of history; older changes are folded into the board). **Download cards (CSV)** saves one row per card for a spreadsheet. Only board admins can export; guests and volunteers cannot. See [data export](/docs/en/data/export/).

## Archive

**Archive board** moves a finished board into the workspace's archive: read-only, out of the board list, search and calendars, and not counted towards your plan's boards per workspace. Restore it there or in the board's banner. See [archiving boards](/docs/en/boards/archive/).

## Delete the board

In the danger zone. Type the board key to confirm. The board disappears at once for everyone and is erased after 14 days.
